Upon arrival to the Grand Room, you will find a computer at the front of the room located on the presenter s podium. The computer does not require presenters to log in to use it.
The Grand Room is used mostly for in-person events. Room cameras are available for hybrid meetings and events, but this is not a common or recommended modality for this room based on its size and the typical needs of events held here. TC Support is avarlable to assist if you need to run a hybrid meeting out of this room

How do I…
There are several options to display your presentation on screen:
- Bring your own laptop and cast it to the presenter screens using either the HDMI cord on the left side of the presenter’s podium labeled “Laptop” or the Click-Share USB-C dongle.
- Sign in to the Microsoft 365 or other account where your presentation is stored and download it to the room computer.
- Bring a USB drive with your presentation materials and plug it into the USB port on the right side of the presenter’s podium.
- Send your presentation materials to the Training Coordinator associated with your event and they will load it onto the desktop for easy access when you arrive at the Training Center.
When you are ready to present, you can select the option you have chosen from the AV Console behind the podium.
With the Grand Room PC:
- When using the Grand Room PC for your presentation, the presenter screens are set up to act as a second display on the right of the desktop monitor. This means that when you’re ready to present, you can use the mouse or keyboard to drag your presentation or other materials off the desktop screen to the right in order to display them on the screens.
With a Laptop (Either HDMI or Click-Share):
- If you are using your own laptop, your entire screen will be projected onto the presenter screens, so it’s a good idea to have your presentation up and running before you plug your computer in and switch to the correct input on the AV Console.

***If your presentation is not appearing on the screen, try the Input button on the remote. Sharing from a laptop is set to appear on the HDMI-1 input in this room.
Whichever presentation option you choose to use, that computer will connect to the presenter screen speakers. Training Coordinators recommend that presenters arrive early to test out any videos on the presenter screens and make sure they load properly and that the sound works and is set up in the way that you want it to be.
Volume should be adjusted on the computer first, but audio settings for the Grand Room can be changed from the AV Console behind the podium.
To adjust the volume in the room, start by adjusting the volume on the computer first. If this is insufficient, audio settings in the room can be further adjusted using the AV Console behind the podium.
The Master Volume can be adjusted from either the Audio or Video screen, using the + and – buttons under “MASTER” on the right side of the console. Audio can be adjusted further using the “Audio” screen. For further instructions on this, please consult TC Support.
The Grand Room is used mostly for in-person events; this is largely because the room is quite large and sound in the room can be difficult to capture in a hybrid format.
Hybrid meetings can be held in this room, but TCIT will likely need to do additional setup before the event in order to make these meetings run smoothly. Please let TC Support know when booking the room that you would like help running a hybrid meeting on that date, and they will assist with this setup to make sure your meeting is a success.
To schedule and run a hybrid meeting, follow the typical procedures for online meetings:
- Open Microsoft Teams or Zoom: Launch the app on your computer or use the web version and log into your account.
- Schedule a Meeting:
a) Teams:
i) Click on the Calendar icon on the left side of Teams, or the “Schedule” icon from the Zoom home screen.
ii) Select “New Meeting” to schedule a future meeting or choose “Meet Now” for an immediate session.
b) Zoom:
i) From the “Home” tab, select “New meeting” to start an immediate session, or “Schedule” to create a future meeting. - Add Meeting Details: Enter a meeting title, date, time, and invite participants.
- Share the Meeting Link: Once the meeting is created, share the link with participants via email or a chat app.
- Start the Meeting: At the scheduled time, join your meeting from the Teams or Zoom app or calendar notification.
- Manage Participants: You can mute/unmute participants, turn on video, and share your screen as needed.

There are several wi-fi networks that are available at the Training Center. Guest is the preferred network for all devices not owned by TCIT, including phones. It can be used by anyone at the TC and does not require a password. TC-Devices is for TCIT controlled and supported computers and requires a password. Equipment
The Grand Room contains four large Presenter Screens at vanous positions throughout the room that are visible to all audience members. These screens can be turned on individually using the provided remote that can be found on the presenters podium. This remote will work for all four screens.
The presenter’s podium has a wireless handheld microphone that needs only to be turned on and off if you wish to use it.
In the cabinet beneath the podium, you can also find a headset mic, lapel mics or table/boundary mics if you prefer to use those. They are kept charged and should only need to be turned on and off if needed. Please return them to their places when you are finished with them.

Front Desk

TCIT will typically check in before each event in order to make sure everything is set up correctly and ready for the day. Attendants at the Front Desk can answer any questions and check out any additional materials presenters or Training Coordinators may need from there.
